This Privacy Policy applies to the STEMania platform, including STEMania Admin (admin.stemania.com) and STEMania Teacher (teacher.stemania.com) (together, the "Services"). It describes how STEMania ("we," "us," or "our") collects, uses, and protects your information when you use our Services.
1. Information We Collect
We collect information you provide directly and information we obtain when you use our Services.
Account and profile information: Name, email address, password (hashed), and role (e.g., franchise owner, teacher, admin). We may also store your employer/franchise association and contact details.
Contractor and tax information: When you complete onboarding, we collect and store W-9 information (legal name, address, tax classification, TIN/SSN or EIN) and related documents. We collect and store contract and e-signature data for contractor agreements.
Payment and banking: If you connect a bank account for payments, that information is collected and processed by our payment provider (e.g., Stripe). We do not store full bank account numbers on our systems; we store only the identifiers and status necessary to manage payouts.
Usage and technical data: We may collect log data (e.g., IP address, browser type, pages visited, timestamps) and use cookies or similar technologies for authentication and security.
2. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the Services
- Authenticate you and manage your account
- Process and store W-9 and contract documents as required for tax and legal compliance
- Facilitate payments and payouts (via third-party payment processors)
- Send transactional emails (e.g., password reset, contract signing links)
- Improve the Services, troubleshoot issues, and enforce our terms
- Comply with legal obligations and protect our rights
3. Google Sign-In and Google User Data
When you sign in with Google (Google OAuth) on STEMania Admin or STEMania Teacher, we access and store limited Google user data. This section describes our practices for that data in compliance with the Google API Services User Data Policy and Google APIs Terms of Service.
Data Accessed: Our application accesses the following Google user data when you choose "Sign in with Google":
- Your email address
- Profile information (name and profile picture)
Data Usage: We use your Google email address to create or link your account, authenticate you, and identify you within the Services. We use your Google profile name and profile picture to display your identity in the app (e.g., in the account area or user interface) and to personalize your experience. We do not use Google user data for marketing, advertising, or any purpose other than account management and in-app display.
Data Sharing: We do not share any Google user data with third parties. Your Google email, name, and profile picture are used only within our systems for account management and in-app display and are not provided to Resend, Stripe, Firma, CloudConvert, or any other service provider. We do not sell Google user data.
Data Storage & Protection: We store your Google email address, name, and profile picture in our secure database. All stored data is protected using industry-standard security measures (see Section 4 below), including encryption in transit and at rest. Access to user data is restricted to authorized personnel and systems required to operate the Services.
Data Retention & Deletion: We retain your Google user data (email, name, profile picture) for as long as your account is active to provide the Services and for legitimate business and legal purposes. You may request deletion of your account and all associated data, including Google user data, at any time by emailing admin@stemania.com with your request. We will process deletion requests in accordance with our data deletion process (see Section 7) and will remove your data within the timeframes described there.
4. Data Storage and Security
We store data on secure servers and use industry-standard measures to protect your information, including encryption in transit (TLS) and encryption at rest where applicable. Access to personal and tax-related data is restricted to authorized personnel and systems necessary to operate the Services. We require our service providers to protect your data under contractual obligations.
5. Sharing and Disclosure
We may share your information:
- With service providers that help us operate the Services (e.g., hosting, authentication, email, e-signature, payment processing). These providers are contractually required to protect your data and use it only for the purposes we specify.
- With your franchise or employer as needed for administration, payroll, and compliance (e.g., W-9 and contract status).
- When required by law (e.g., subpoena, court order, or to comply with tax or regulatory requirements).
- In connection with a merger, sale, or other transfer of assets, subject to the same privacy commitments.
We do not sell your personal information.
6. Data Retention
We retain your information for as long as your account is active or as needed to provide the Services and comply with legal, tax, or contractual obligations. Document retention (e.g., W-9s, signed contracts) may extend beyond account closure where required by law.
7. Your Rights and Choices
Depending on your location, you may have the right to access, correct, or delete your personal information, or to object to or restrict certain processing. You can update much of your profile and contact information through the Services.
Requesting deletion of your data: You may request deletion of your account and all associated personal data (including data obtained from Google) at any time by emailing admin@stemania.com. We will process your request and remove your data in accordance with our data deletion process (typically within 30 days, with a grace period for recovery where applicable). Some data may be retained as required by law (e.g., audit logs, tax documents).

8. Cookies and Similar Technologies
We use cookies and similar technologies for authentication, session management, and security. You can control cookie settings through your browser; some features may not function correctly if cookies are disabled.
9. Children
The Services are not directed at children under 13. We do not knowingly collect personal information from children under 13.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated policy on the Services and, where appropriate, notify you by email or through the app. Your continued use after changes constitutes acceptance of the revised policy.
